Position Title: Special Events Coordinator
Department/Team: Events & Outreach Team
Reports To: Director of Outreach & Events
Role Type: Volunteer Staff (12-Month Commitment)
Estimated Commitment: Hours will vary depending on event load; average 3–6 hours per week during planning months, with additional hours required during event weeks.
Overview
The Event Coordinator (Special Events) plays a vital role in the mission of TPUSA Faith at Tarrant County by helping plan and execute large-scale gatherings that unite believers, pastors, and community leaders around the message of faith, freedom, and discipleship. This role focuses specifically on major ministry-wide events such as Freedom Nights, the Faith & Freedom Gala, Interest Nights, and other countywide gatherings. The Event Coordinator ensures these events are executed with excellence, spiritual intentionality, and logistical precision. Every decision, detail, and design serves one purpose — to glorify Christ and create environments where believers are equipped, inspired, and mobilized to stand boldly for biblical truth.
Purpose of the Role
The Event Coordinator (Special Events) is responsible for overseeing the organization, coordination, and on-site execution of all major events hosted by TPUSA Faith at Tarrant County. Working closely with the Director of Outreach & Events and President & CEO, this role ensures that each event reflects our mission, maintains 501(c)(3) standards, and represents TPUSA Faith with professionalism and integrity. Through structured planning, communication, and teamwork, this role transforms vision into reality — ensuring that every event advances the Gospel and strengthens unity among believers.
Core Responsibilities
Coordinate and execute large-scale events such as the Annual Faith & Freedom Gala, Freedom Nights, and other major ministry gatherings.
Collaborate with the Executive Leadership Team to define event goals, themes, budgets, and timelines.
Manage logistics including venue coordination, vendor communication, catering, décor, registration, and volunteer assignments.
Recruit and lead volunteer teams for setup, hospitality, parking, registration, and teardown.
Partner with the Communications Team to develop event branding, marketing, and promotional materials.
Work with the Prayer Coordinator to ensure every event is spiritually covered before, during, and after execution.
Coordinate with the Director of Advancement to integrate donor relations and sponsorship recognition into event flow.
Ensure all events are executed in alignment with TPUSA Faith’s branding, Code of Conduct, and 501(c)(3) guidelines.
Create and maintain detailed event plans, run sheets, checklists, and debrief summaries.
Manage day-of logistics — ensuring all volunteers, vendors, and attendees experience excellence, clarity, and hospitality.
Conduct post-event evaluations with leadership to celebrate wins, identify improvements, and document best practices for future gatherings.
Volunteer Commitment & Conduct
This is a volunteer position requiring a 12-month commitment. The time commitment will vary by season — approximately 3–6 hours per week during preparation months, with increased hours required during event weeks (including evenings or weekends as needed).
No salary or financial benefit is provided; reimbursement may be approved for ministry-related event expenses or supplies.
Members of the Events & Outreach Team serve under the following commitments:

Qualifications
A devoted follower of Jesus Christ, active in a local Bible-believing church.
Full affirmation of TPUSA Faith’s Statement of Faith.
Prior experience in event planning, logistics, or hospitality preferred.
Strong organizational, communication, and multitasking skills.
Capable of managing volunteers, vendors, and high-energy environments with calm and clarity.
Detail-oriented, proactive, and reliable in following through on assigned responsibilities.
Spiritually mature and motivated by a heart to serve, not to be seen.
Flexible and adaptable to changing circumstances, especially during event execution.
